Annual General Meeting and Supper
(Wednesday 24th April 2019 at 7pm for 7.15pm start)
Dear Members,
In accordance with our new charity constitution, the Trustees propose to hold the 2018/19 AGM on Wednesday April 24th 2019 (at 7.15pm) at the Wiltshire Music Centre, Bradford-on-Avon. Full details of the AGM, including agenda, Trustee nominations, annual report and accounts will follow in a subsequent letter.
In accordance with the constitution, one-third of the elected charity trustees shall retire from office each year. Any trustee retiring on rotation is eligible for reappointment. We currently have 9 Trustees. Ellen is retiring from the committee. Phil and Rob are also voluntarily standing down, but will immediately stand for re-election.
New Trustees are always needed to bring in new ideas, enthusiasm and initiatives. Do you want to have a say in what we do and how we work? Would you like to learn about what happens behind the scenes? If so, why not become a Trustee? We can have up to 12 trustees so do think about joining us.
Members are invited to consider being nominatied as a new Trustee to join the Board of Trustees and should complete the attached nomination form (inc proposer and seconder) and return to me 7pm on Monday 8th April 2019, noting:
- All nominees must have been paid up members of the charity for at least 12 months (as of 1st April 19);
- All nominees should ensure they are eligible to be a charity trustee (see Annex A on next page);
- Proposers and Seconders must be paid up members;
- Nominations for trustees will not be accepted at the annual general meeting;
- The Trustees are looking to appoint at least 3 Trustees, noting there is a maximum of 12. A ballot will be held if more than 6 valid applications are received.
Members are invited to raises items for discussion at the AGM and should notify the secretary of such topics for inclusion on the agenda by Mon 8th April 19.
Members are invited to note that membership fees for the 2019/20 year are due from 1st April 2019, and should be paid prior to the commencement of AGM. As membership secretary I will be collecting payments from 7pm before the meeting – cash or cheque. I will also have copies of the standing order mandate if you wish to set this up for the future. I am happy to receive membership money by post beforehand. Membership remains at £10 for 18s and over and £5 for under 18s and those in full time education.
This will be an opportunity to check that the details I hold for you are still accurate – has your address, email, telephone number changed in the last year ? I will have my membership list with me for you to check. I would find it useful if you could tell me if you pay via a direct debit. Remember if you are cast in a production you must be a paid-up member.
